1. Controller and contact details

FLOWENTIC S.R.L., with its registered office at Municipiul Mediaş, Aleea Eforiei nr. 10, sc. A, ap. 9, judeţul Sibiu, România, CUI 55454985, înregistrată la Registrul Comerţului sub nr. J2026050502006, trading as FLOWENTIC, is the controller of the data described in this notice.

2. Scope and data collected

This notice applies to visitors to flowentic.com and flowentic.ro and to people who contact FLOWENTIC about its services. It covers the form, business correspondence and contact records associated with the enquiry.

Information submitted through the form

• your name and work email address;
• your company, role and approximate number of systems involved;
• your description of the workflow, bottleneck and desired outcome;
• the form language and subsequent correspondence.

Providing the data is not a statutory or contractual requirement. Fields marked as required are necessary to assess and handle the enquiry; without them, we cannot respond.

Do not include passwords, API keys, medical data, confidential financial data or other sensitive information. Anything we receive accidentally is deleted without delay.

Technical data

When you access the site or submit the form, technical providers may process your IP address, browser type, date and time, requested page, referring address and data required for security, diagnostics and abuse prevention. FLOWENTIC does not use this information for behavioural advertising or commercial profiling.

Our legitimate interest is to answer the business enquiries we receive. We do not use the form for newsletters or marketing.

4. Form processing, recipients and transfers

The form sends data over HTTPS to Formspree, Inc., which accepts, filters and delivers the message to the FLOWENTIC mailbox. The site does not keep the form in its own database. Formspree may retain a copy depending on the account plan and configuration.

To the extent necessary, data may be accessed or received by:

• authorised FLOWENTIC personnel;
• Formspree, Inc., to process and deliver the form;
• Zoho (Zoho Mail) (European Union), for email and correspondence;
• Cloudflare, Inc. (Cloudflare Pages) (global network, with processing in the European Union and third countries), to deliver and secure the site;
• advisers bound by confidentiality and authorities where required by law.

Formspree states that its services are hosted on AWS infrastructure in the United States. Submissions may therefore be transferred to the United States. The confirmed safeguards for these transfers are: [CONFIRMED MECHANISM: DPA, SCCs AND SUPPLEMENTARY MEASURES]. Information or a copy of the safeguards may be requested through the privacy address.

We do not sell the data or disclose it to other companies for their marketing. In the current configuration, the form is not connected to a CRM, marketing tools or automated replies.

5. Retention periods

• enquiries that do not lead to an engagement: no more than 12 months after the last relevant communication;
• the copy available through Formspree: message archiving is disabled on our account; Formspree does not retain a copy of messages after they are delivered by e-mail;
• hosting/CDN technical logs: [ACTUAL HOSTING LOG RETENTION PERIOD], unless an incident justifies longer retention;
• enquiries that become projects: necessary data is transferred to the relevant contractual records and retained under the contract and legal obligations;
• data required for a dispute or incident: for the justified resolution period and applicable legal limitation periods.

The rule applies to the Formspree copy, the FLOWENTIC mailbox and any authorised copies. At the end of the period, data is securely deleted or anonymised unless the law requires its retention.

6. Cookies and local storage

FLOWENTIC code does not set cookies and does not include analytics tools, marketing pixels or external tracking elements. It uses only:

• your light or dark theme preference;
• the page section and position when you switch language.

These values do not contain your name, email address or a marketing identifier and are not sent to FLOWENTIC.

We do not use the data for profiling or automated decisions about people.

7. Your rights

Subject to the GDPR conditions, you may request:

• access to your data;
• correction of inaccurate data;
• deletion or restriction of processing;
• data portability, where applicable;
• objection to processing based on legitimate interests.

We will respond without undue delay and within one month. Where necessary, the period may be extended by no more than two additional months; we will notify you of the extension and reasons within the first month.

You may lodge a complaint with the Romanian National Supervisory Authority for Personal Data Processing (ANSPDCP).

8. Changes to this notice

If we use the data for a purpose other than those described here, we will tell you first and establish the applicable lawful basis.
